2. Data we process and why

We process personal data generated for technical purposes when you visit the website or provided by you in connection with an enquiry. Depending on your enquiry, this may include contact details, messages, vehicle information, requested services and preferences for appointments and vehicle handover. We use this data to provide and protect the website, handle your enquiry, advise you and agree the next steps with you.

The Swiss Federal Act on Data Protection (FADP) is particularly relevant. An enquiry through the website is neither a subscription to advertising nor an online payment. Please use free-text fields only for information necessary for your enquiry, without unnecessary confidential documents or sensitive personal data.

3. Website visits and technical data

Connection and request data is transmitted to the hosting infrastructure so that your browser can retrieve pages, images and videos. Access logs contain the date and time, IP address, requested URL or request, browser/device identifier, country, data volume and response time. This information enables technical monitoring and review of access to the website.

The hosting provider may maintain additional server, error and security logs. The period visible in the administration interface does not necessarily represent the full retention period. No binding deletion period has currently been confirmed for these technical logs.

4. Contact by email and telephone

When you write to us or call us, we use your contact details and the content of your enquiry to handle it and respond. The mailbox info@edelmann-garage.ch is hosted by Hostinger Email under the Standard Business Email plan. The configured mail servers are mx1.hostinger.com and mx2.hostinger.com. The specific storage and processing locations of the email service and the provider’s technical retention periods have not yet been conclusively confirmed. They cannot be inferred from the location of the web server. Our operational deletion rules are set out in section 14.

Please agree an appropriate transmission method with us personally before sending particularly confidential information. We cannot guarantee continuous end-to-end encryption for ordinary email communication.

5. Contact form

The contact form collects your name, email address, enquiry type and message. You may also provide a telephone number and specify a service. If you access the form from a vehicle page, the vehicle reference is carried over. We also record the selected language, receipt date and time, the consent wording you accepted and the status of handover to the email system.

The enquiry is stored in WordPress and is not publicly accessible. Access is limited to administration accounts with the appropriate permissions. An enquiry email to info@edelmann-garage.ch is also intended for internal handling. Your email address is used as the reply-to address. An acknowledgement appears on the website; no automatic confirmation email is sent to you.

6. Vehicle, test drive and reservation enquiries

The contact form is used for vehicle searches, test drive and reservation requests, and other vehicle enquiries. Alongside your details, the selected vehicle is linked to the enquiry by its title and a reference to its page. We use this information to provide personal advice and agree arrangements with you. Selecting a reservation enquiry does not automatically create a binding vehicle reservation or a payment.

7. Edelmann Care and appointment requests

The Care configurator collects your first name, surname, telephone number, street, house number, postcode and town. An email address is optional. Vehicle information includes make, model, body style, vehicle year or year of first registration, paint colour and interior trim. A registration number, further details about the interior, vehicle condition and comments may also be provided.

The enquiry includes the selected care package, optional extras, handover method, preferred date and, where applicable, an alternative date and time window. A collection or service address is required for collection, transport or a mobile service. Confirmation that the requirements for a mobile service will be agreed is used to assess that request.

Your enquiry is stored with the service and price summary, associated notes, language, receipt date and time, consent wording and processing status. Authorised staff may add internal handling notes in the WordPress administration area. An internal enquiry email is intended for normal operations; if a valid email address is provided, it is used as the reply-to address.

We use these details to assess the care required, prepare a quotation and agree the appointment and handover. The displayed price indication and a technical calculation do not replace an individual assessment. The automatic acknowledgement is not a definitive appointment confirmation. The configurator does not make automated decisions about financing, credit or a contract.

8. Financing and leasing

Financing and leasing can be selected as enquiry types. The website form collects your contact details and message for this purpose; it does not include a creditworthiness check, credit application or automatic connection to a financing or leasing provider.

The form does not automatically forward your details to a financing or leasing partner. If disclosure is envisaged as part of a personal consultation, you will first be informed of the specific recipient, purpose, information required and relevant processing abroad.

9. Abuse prevention and technical form storage

The forms use internal security checks: signed form identifiers, validity and timing checks, a hidden spam-check field and limits on repeated submission attempts. For this purpose, the server processes the connection IP address for form requests and uses a secret key to derive a verification value from it. The plain IP address is not stored in the contact or Care enquiry record. The verification value is used to prevent abuse and does not guarantee complete anonymity.

Submission-attempt counters have a technical validity period of 15 minutes. Information used to prevent duplicate submissions is intended to remain valid for two hours. When a form is used without JavaScript, entries and feedback may be stored temporarily on the server for the return to the form, with a validity period of ten minutes. This feedback is removed when it is next retrieved. The technical validity period of temporary storage must be distinguished from its subsequent clean-up.

No external CAPTCHA or spam-checking service is integrated.

10. WordPress, languages and hosting

The website uses WordPress and Polylang Pro for its language versions. The technically available DeepL integration is not activated. No automatic translation or transfer of form content to DeepL is configured.

The website is hosted by Hostinger under the Business Web Hosting plan. The web server is located in Frankfurt, Germany. Hostinger CDN is activated to deliver website content. This delivery infrastructure processes technical request data, including the IP address. Its full processing locations have not yet been conclusively confirmed.

Automatic backups of the website and database are created daily. The confirmed backup location is France. Backups may also contain stored enquiries. The available restore points do not guarantee a fixed retention period; the binding technical backup retention period has not yet been confirmed.

The confirmed locations in Germany and France do not mean that all technical processing takes place exclusively in those countries.

11. Cookies and browser storage

The following technical storage is used for language, forms and display:

• Language cookie pll_language: remembers the selected language, such as de, fr or en. Its configured lifetime is one year. It contains no form entries and is not used to create advertising profiles.
• eg_contact_flash and eg_care_flash: are used in the form process without JavaScript. They contain a random reference to temporary server-side feedback, not the form entries themselves. They are intended to last for no more than ten minutes and are deleted when next retrieved.
• wpEmojiSettingsSupports in session storage: WordPress uses this entry to remember the result of a technical check of emoji display in the browser. It supports display and does not store your enquiry. Session storage is generally limited to the relevant browser session or tab.

Care entries are held in the memory of the open page while you complete the form, rather than stored permanently in your browser’s local storage. WordPress uses additional login and session cookies for authorised access to the administration area. No public customer account is offered.

You can delete cookies and website data in your browser or restrict their storage. This may affect functions such as remembering your language or displaying form feedback without JavaScript.

12. Images, videos, fonts and external requests

Images and videos are self-hosted; production delivery also uses the activated Hostinger CDN infrastructure. No external video players such as YouTube or Vimeo are embedded. The design uses system fonts such as Arial, Helvetica, Georgia and Times; Google Fonts and other external web fonts are not requested.

The website does not integrate analytics or advertising trackers, advertising pixels, external CAPTCHA services, maps or active external vehicle or financing APIs. Hostinger’s technical access logs and hosting statistics are separate from these and are described in the section on technical data.

WordPress emoji display: if the browser does not support their display, WordPress may retrieve emoji images from s.w.org. This request transmits the IP address in particular to that external service. Retrieval only occurs when needed. The precise processing locations for this delivery have not yet been conclusively confirmed.

Technical maintenance services: services intended for WordPress and Polylang updates, downloads, licensing and language packages include api.wordpress.org, downloads.wordpress.org, polylang.pro and packages.translationspress.com. These maintenance services are not regular visitor-facing integrations; mentioning them does not mean that they receive visitors’ personal data on every website visit.

13. Recipients and possible processing abroad

Enquiries are not public in the WordPress administration area and are sent to the company’s internal email address through the intended email process. Hosting and email providers may process the data as part of their respective technical operations. There is no automatic forwarding to financing, leasing or transport partners.

Website data is processed on the web server in Germany and for backups in France. Other processing countries, particularly for email, the CDN, support access and conditional emoji delivery, have not yet been fully confirmed. Processing exclusively in Switzerland is not guaranteed.

14. Retention and deletion

Contact, vehicle and Care enquiries that do not result in an order or a contractual relationship are generally deleted after one month. This rule also applies to related internal notes and email copies, unless they remain necessary for another relevant business reason.

If an enquiry leads to an order, contract, invoice or another relevant business transaction, we retain the data concerned only for as long as necessary to perform the contract, meet statutory retention obligations or pursue or defend legitimate claims. The documents that remain necessary depend on the transaction concerned.

Email copies and backups are taken into account when deleting data. Technical backups are subject to the hosting provider’s separate retention and rotation procedures. The one-month rule therefore does not mean that all backup copies held by Hostinger are deleted after exactly one month. Technical logs also have separate retention rules. This notice does not guarantee binding retention periods on the provider’s part.

15. Data security

Access to enquiries is restricted to authorised accounts. Incoming form values are checked on the server; technical safeguards are intended to reduce abuse and accidental multiple submissions. The website uses HTTPS for encrypted transmission. Absolute security of data transmission or storage cannot be guaranteed.

16. Your rights under Swiss data protection law

You may request information on whether we process personal data about you and, if so, which data. You may have inaccurate information corrected and request deletion or cessation of processing where the legal requirements are met. Subject to the conditions of the FADP, you also have the right to receive or transfer certain data in a commonly used electronic format. These rights may be subject to legal restrictions, for example where necessary retention obligations prevent compliance.

Where processing is based on your consent, you may withdraw it for the future. Please send your request to info@edelmann-garage.ch or to the postal address above. Where necessary, we will verify your identity appropriately to avoid disclosing data to unauthorised persons. Information is generally provided free of charge and usually within 30 days. We will inform you of any legally permitted restriction or delay.

You may also contact the Federal Data Protection and Information Commissioner (FDPIC) with data protection questions or reports of data protection violations. Statutory judicial remedies remain available.

17. Changes

We update this notice when our services, data processing or service providers change. The applicable version is the published version bearing its stated date.
